This policy explains how Navjot Navjot Pty Ltd, trading as hfub, collects, uses, discloses and protects personal information. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
1. Information we collect
Information you give us
When you submit an enquiry, book a discovery session or engage us for a project, we collect:
- Your name and business name
- Email address and phone number
- Details of the project or problem you describe to us
- Correspondence between us during a project
- Billing details necessary to issue and settle invoices
Information collected automatically
When you visit hfub.com, our hosting provider and analytics tools may record your IP address, browser and device type, pages visited, referring site, and the date and time of your visit. This is used in aggregate to understand how the site is used.
Information we do not seek
We do not seek sensitive information as defined in the Privacy Act — such as health information, racial or ethnic origin, political opinions, religious beliefs, or criminal record. Please do not include such information in enquiry forms or correspondence unless it is genuinely necessary for a project we are delivering.
2. Why we collect it
We use personal information to:
- Respond to enquiries and prepare quotes and proposals
- Deliver, support and maintain the software we build for you
- Issue invoices and manage payment
- Meet our record-keeping and tax obligations
- Improve our website and our services
We do not sell personal information. We do not send marketing email unless you have asked to receive it, and every such message includes a way to unsubscribe.
3. Who we share it with
We disclose personal information only where it is necessary to run the business, and only to:
- Service providers — website hosting, email, form handling, analytics, accounting and payment processing
- Professional advisers — our accountant or lawyer, where relevant
- Government or law enforcement — where we are required or authorised by law
We require our service providers to protect personal information and to use it only for the purpose we engaged them for.
4. Client data during a project
Delivering a project may require access to systems containing personal information about your customers, staff or suppliers. Where that happens:
- You remain the entity responsible for that information under the Privacy Act. We handle it on your behalf and on your instructions.
- We access only what is necessary to do the work.
- We prefer to work with anonymised or sample data where it is practical to do so.
- We do not use your data for any purpose other than delivering your project.
- At the end of the engagement, we return or securely delete working copies on request.
Where a project involves personal information at any scale, we will agree the specific handling arrangements in writing before work begins.
5. Overseas disclosure
Some of our service providers store data on servers outside Australia, including in the United States and the European Union. By providing information to us, you consent to that storage. We take reasonable steps to ensure overseas providers handle personal information consistently with the Australian Privacy Principles.
6. Security and retention
We take reasonable steps to protect personal information from misuse, loss, and unauthorised access or disclosure. These include access controls, encrypted connections, and limiting the number of people and systems that hold your information.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a data breach occurs that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme.
We retain personal information only as long as needed for the purpose it was collected, or as required by law. Financial records are generally retained for seven years.
7. Cookies and analytics
hfub.com may use cookies and similar technologies to keep the site working correctly and to understand how visitors use it. You can block or delete cookies through your browser settings, though some parts of the site may not function as intended if you do.
8. Accessing and correcting your information
You may ask us for a copy of the personal information we hold about you, ask us to correct it if it is wrong, or ask us to delete it where we are not required to keep it. Contact us using the details below. We will respond within a reasonable period, ordinarily within 30 days.
We may need to verify your identity before acting on a request. If we refuse a request, we will explain why in writing.
9. Complaints
If you believe we have mishandled your personal information, please contact us first so we can try to resolve it. We will acknowledge your complaint and respond within a reasonable period.
If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
